What an incoming inspection checklist is

A free-weights incoming inspection checklist is a one-page list of checks, methods, sample sizes, and pass/fail rules for plates, bars, and related hardware before the lot is accepted. It is not a factory tour and not a certificate. Origin PSI (pre-shipment inspection) uses the same sheet before stuffing. Destination receiving uses a shorter sheet after the container opens. If those two sheets disagree, you will argue about where the defect appeared.

For iron plates, start from the cast iron weight plates construction you actually ordered—do not let a bumper photo stand in on the packing list. Hole family is the mix-lot check that prevents a gym from opening a claim two weeks later.

Origin PSI versus destination receiving

  1. Origin PSI owns geometry: hole, sleeve, mass, dry fit of plate on bar, and stuffing photos. That is the last chance to hold a carton without ocean time.
  2. Destination receiving owns tally, crush, rust that appeared in transit, and any carton that was not photographed at origin. It should not be the first time anyone measures the center hole.
  3. Send the same ID codes (P1, B1, M1) on both sheets so a claim photo can point to a row.
  4. If you skip origin PSI, destination still uses R1 plus whatever you can still measure. You will not know whether a chip is stuffing or ocean.
  5. Keep the golden-sample photos with the checklist. A pass/fail without a picture baseline becomes a taste argument.

A mixed container of plates and a bar is one booking and two inspection families. Write both columns before the factory stuffs.

Limits of this guide

This template is not a drop-test, not a steel mill certificate, and not a universal sample size. Choose n from your AQL agreement or from a simple “three pieces per SKU” rule you can actually staff. It can count and photograph damage. It cannot rewind a wrong hole diameter after the ocean. Put P2, B1, and M1 at origin. Keep R1 at destination.

How do I inspect a plates-plus-bar mix in one hour?

Do M1 dry fit first (one plate per hole family on the bar). Then P1 carton marks and B2 collars. Mass and calipers next if time remains. Fit is the mix-lot failure that wastes a gym install day.

Who fills the pass/fail column—factory or inspector?

The inspector signs. The factory may run an internal pre-check with the same IDs. Your PSI report should be independent of the packing list author.

What if I also load dumbbells in the same container?

Add a D row: pair marks, handle wiggle, carton wrap. Do not hide dumbbells inside the plate tally. Mixed unlabeled cartons fail P1.
